We are hiring an Operations Coordinator to play an important role in the upkeep and development of our operational systems, infrastructure, and member engagement.

We’re looking for a customer-service-administrator wizard who likes people as much as they like processes. Your primary responsibility will be to welcome incoming clients, answer emails, and manage their service experience. Another key area is to support and collaborate in developing our community engagement strategy through our online channels (e.g. Slack community, member email updates, social media) and face-to-face events. Generally, you will help maintain structure in a chaotic environment by translating a minutiae of tasks into sensible processes, and sticking to them. You’re a top-notch communicator, who likes to balance warmth and friendliness with efficiency and tact. You’ve worked directly with clients before, get satisfaction from sending emails, and love closing loops. Extra points if you’re interested in technology and/or education and/or making things. You’ve worked in complex environments before, you love making lists, updating spreadsheets, nailing workflows and iterating procedures so the lab moves like a well-oiled machine/robot.

COMPENSATION

This is a part-time role (20-30 hours / week) on a six-month contract. Possibility for extension to full-time pending funding and performance. This role requires regular on duty shifts during lab operations (between the hours of 10am-10pm daily, 8pm on Sundays), as well as flexibility for ongoing evenings and weekend shifts.

Hourly Wage: $17-20 per hour + 4% vacation pay, negotiable based on experience

We are a community makerspace, where people of all ages and abilities come together for access to high tech tools, to learn, and to make. Our 3000 sq ft facility in the heart of downtown Toronto is where members & students engage in physical and digital making, gain a sense of technological agency, and develop their creative confidence. We run workshops, multi-week programs, school visits and summer camps for kids and adults in our space. Independent makers have memberships to use our space for their own projects as they need. We also teach maker education to other teachers all over the world. Members of STEAMLabs are professionals, hobbyists, tinkerers, educators and curious imaginative people who pay a monthly fee to access workspace, tools, and community. They use the space to prototype and build projects, and expect a level of reliability, efficiency and ease from their environment.

CORE RESPONSIBILITIES & TASKS:

Systems & Administration

  • Supporting the General Manager with accounts receivable & accounts payable processes; including bookkeeping, billing, and data entry
  • Managing ongoing internal purchases, inventory, and budget tracking
  • Processing retail purchases and general management of materials
  • Managing active and expired monthly membership data
  • Conducting and disseminating feedback and evaluation surveys to members and program participants and producing ongoing internal reports with the collected data

Community & Membership Support

  • Customer service and first-responder on-duty at reception (answering general inquiry emails, phone calls, and responding to voice mails and messages)
  • Coordinating logistics for space inquiries and bookings for various field trips, team offsites, and special events
  • Supporting volunteer recruitment, training, and task assignment of community animators to provide tours and onboard new members
  • Collaborating with team to execute and promote events and workshops for members and the greater community

Infrastructure

  • Work with the General Manager to update systems for our operating tools and facilities; communicating and operationalizing new processes to members accordingly
  • Maintaining tool repair log, troubleshooting and communicating with relevant staff as issues arise
  • Managing storage, general cleanliness and upkeep of the lab

Communications

  • Capturing content (photo & video) as programs and events take place to add to our PR and marketing collateral
  • Collaborating with marketing to promote upcoming programs; keeping social media channels up to date to engage our online community and increase our potential reach
  • Moderating and animating our internal channels including our member wiki, Slack community and monthly member emails

REQUIRED SKILLS & EXPERIENCE:

  • 1-2 years experience in client-facing environments or customer service roles where your fantastic communication skills kept customers coming back, and referring others
  • Organized with excellent time management skills and attention to detail
  • Administrative experience; preferably with bookkeeping, financial administration, and budget tracking
  • Excellent written communication skills; from writing friendly emails to creating signage and social media posts
  • Experience with creating and managing data and workflows with spreadsheets; ability to analyze data and compile into reports
  • Proficiency and adaptability to follow workflows with various online tools for collaboration and project management (i.e. Slack, Google Apps for business, Asana, etc.)

Bonus points:

  • You make things and/or you like to geek out at things other people make
  • You have:
    • An understanding of the Maker Movement and principles of Maker Education
    • Experience with cloud accounting software (Xero)
  • Working knowledge of digital fabrication equipment (3D printers, laser cutters, CNC)
  • Experience working in non-profit organizations and/or in a volunteer management role
  • Grant writing
  • Photography skills and video editing
  • Basic graphic design (using Canva and/or Illustrator)
  • Basic WordPress
