Primary Responsibilities

  • Prepare, key in, edit and proofread correspondence, invoices, presentations, brochures, publications, reports and related material from machine dictation and handwritten copy
  • Assist with preparation and production of high-quality reports and presentations
  • Maintain the business calendars, manage schedules, coordinate meetings and conferences, plan events and other appointments as necessary
  • Assist with internal and external events, such as client meetings and conference calls
  • Order office supplies and maintain inventory
  • Open and distribute incoming regular and electronic mail and other material and co-ordinate the flow of information internally and with other departments and organizations
  • Set up and maintain manual and computerized information filing systems
  • Determine and establish office procedures
  • Perform administrative duties such as data entry, copying, emailing documents both internally and to clients, filing documents, information gathering, word processing, document binding
  • Update client databases, to ensure maintenance of accurate client information
  • Translate transaction documents in both English and Chinese version
  • Supervise and train office staff in procedures and in use of current software

Qualifications

  • Post-Secondary degree or diploma
  • At least one year’s experience in an administrative position
  • Proficiency in English and Chinese
  • Proficient in the use of Microsoft Windows and its applications including Excel, Word, PowerPoint, and MS Outlook

Compensation

Hourly: $13

Bonus may apply based on overall performance

Medical insurance may apply after probation period
