Vision for the Role:

The Operations Back Office Fulfillment Specialist reports to the Production Control Manager in conjunction with the Operations Team Leaders, and encompasses the day-to-day of operations fulfillment duties:

  • Daily Output in a time sensitive manner
  • Inserting for Mailing Services & Validating
  • Postage metering & ESOM creation
  • Miscellaneous tasks as assigned

This work involves the production of sensitive client brokerage and bank statements, and trade confirmations.  There is an absolute need for timeliness, attention to detail and accuracy associated with the delivery of this service. The ideal candidate will be able to demonstrate experience and capabilities that clearly show their capacity to excel in a demanding and high performance work environment.

Key Responsibilities: 

  • Follow all processes and procedures consistently and accurately
  • Distribute printed material in assigned envelopes & bins accurately with daily deadlines
  • Update all required checklists & spreadsheets consistently and accurately in process driven environment
  • Operate desktop equipment - troubleshoot and recover simple equipment problems;
  • Maintain work environment in an ordered, safe and neat manner;
  • Support on-going quality process and QA development;
  • Support existing and new processes and procedures – client SLA;
  • Provide additional on-site support for production services during peak periods (month end, quarter end, year-end (and during Tax season – January to March each year);
  • Provide shift coverage as required.

  • Good communication skills (written/verbal English)
  • Computer literate using Microsoft Outlook, Excel & Word
  • Detail oriented with a strong commitment to quality & timeliness
  • Ability to handle multiple priorities while meeting specific deadlines
  • Strong organizational skills
  • Strong team player

Education and  Technical Qualifications:

  • 1- 2 years of experience in a high volume printing/mailing role would be an asset or in a back office business environment
  • Trade training/experience would also be an asset
  • Hands-on experience using PC’s, including Windows 2000 / 7 and Microsoft Office applications

Working Conditions:

  • Variable shift work (morning shifts)
  • Part-time and Full-time positions available
  • Flexible schedule as this position may require weekends and late evenings occasionally
  • Ability to lift up to 40 lbs.
