Job Purpose

  • Supervise the day to day operations of the Accounting and Office Department of a company in the Property Management and Real Estate Industry in Toronto, ensuring all office processes and systems run efficiently and productively.

Essential Duties & Responsibilities

  • Manage the administration of the Head Office –Clerical staff, cleaning contract, filing, office supplies, petty cash, deposits, payables, receivables, reception, tenant surveys as well as banks and reports,
  • Guarantee accuracy, consistency, and timely completion in AR process, mainly when affected by AGI applications/orders, also in AP process,
  • Prepare monthly financial statements, management fees, bank reconciliations and journal entries ensuring that deadlines are met in a timely manner,
  • Produce accurate and reliable financial reporting packages in strict adherence to the set procedures for the portfolio of properties,
  • Provide monthly reports to the third party owners and answer enquiries regarding those reports,
  • Provide financial analysis and support to the properties’ management and internal departments with regards to concerns, reporting issues, and variance explanations,
  • Review and maintain monthly control sheets for financial statements and annual budgets to ensure information is accurate, current and investigate variances as needed,
  • Handle third party queries for preparation of year-end working papers and audits,
  • Assist in the preparation of annual budgets,
  • Ensure timely completion and maintenance of accounting data to meet reporting deadlines,
  • Liaison with banks for management of all bank account,
  • Assist Controller in administration as required

Education & Experience

  • Bachelor’s degree in Business preferred
  • Enrolled in CGA/CMA program or equivalent post-secondary program,
  • Preferred 4-5 years property accounting experience required including full cycle property accounting, financial statement preparation, budgets and year end reports,
  • Past experience to manage direct reporting staff,
  • Minimum 5 years experience in office management,
  • Spectra and YARDI knowledge is an asset; Advanced knowledge of Microsoft Excel and Word is required

Knowledge, Skills & Proficiency

To perform this job successfully, an individual must:

  • Knowledge of Tenancies Act, AGI, NORI’s, LMR adjustments, HST and WSIB for proper reporting and remittance,
  • Ability to handle a heavy work load and meet deadlines,
  • Team player who is able to work in a fast paced environment and contribute to the team by transfer of knowledge to more junior team members,
  • Ability to work well under pressure and remain detail focused,
  • Ability to work in a flexible hour environment, as some evenings may be required in order to meet deadlines (i.e. year-end, posting rents, evening board meetings, etc.)
  • Excellent verbal and written skills; able to get ideas across and maintain composure in a changing environment, ability to develop and sustain cooperative working relationships; team player,
  • Ability to manage time effectively and prioritize responsibilities,
  • Excellent attitude and willingness to continuously learn and update skills in order to remain competitive and challenged.
